1. Who we are
Vextore is provided by Aironum AB (org. no. 559595-7027), Fyrskeppsvägen 21, 423 40 Göteborg, Sweden ("we", "us"), which is the data controller for the personal data described in this policy. Vextore is a desktop application and website for semantic search across your own files. This policy explains what personal data we process, why, and what rights you have. 2. What we collect
Account data
When you create an account we store your name, email address, and a hashed password (or your Google account identifier if you sign in with Google). We also store your subscription status and plan.
Files you index
When you index files with the desktop app, the files you select are uploaded over an encrypted connection and processed into compact semantic vectors ("embeddings") on secure cloud infrastructure. We do not retain your original file contents or the embeddings after indexing. Each embedding is streamed to your desktop app as soon as it is computed and is not stored on our servers; the uploaded file is deleted once indexing completes. The searchable index exists only on your own device. What we do keep are usage records needed to operate the service and enforce plan limits: the name and size or duration of each file you index, the cost of each operation, and how much you have indexed and searched in a billing period.
Payment data
Payments are processed by Stripe. We never see or store your full card details; we store only your Stripe customer and subscription identifiers and your billing status.
Usage analytics
We use PostHog (hosted in the EU) to understand how the website and app are used. Website analytics are anonymous only: page views and feature events (for example which pricing button was clicked) are collected for the duration of a visit without setting cookies, without writing anything to your device, and without any identifier that survives closing the tab. These events are never linked to your account. We also record anonymous session replays of website visits, based on our legitimate interest in improving the product: replays cover a single visit only, everything you type is masked except the public demo search bar, and no recording happens on sign-in, account, or checkout pages. You can object to this processing by emailing support@vextore.com.
Cookies
We use a strictly necessary session cookie to keep you signed in. We do not set any analytics or third-party advertising cookies, which is why the website shows no cookie banner.
3. Why we process it (legal bases)
We process account, file, and payment data to perform our contract with you (providing the service you signed up for). We process anonymous website analytics and in-app usage analytics based on our legitimate interest in improving the product. We process data to comply with legal obligations such as bookkeeping requirements.
4. Who we share data with
We share data only with the categories of processors needed to run the service:
- Cloud infrastructure and AI processing providers: file content is processed during indexing, and our servers and website are hosted, on established cloud platforms acting on our instructions.
- Stripe: payment processing and billing.
- PostHog (EU): product analytics and session replay.
We do not sell your personal data. A current list of our processors is available on request at support@vextore.com.
5. How long we keep it
Account data is kept while your account exists. Uploaded file contents are deleted as soon as indexing completes, and the embedding vectors computed from them are streamed to your device and not stored on our servers. Usage records (file name, size or duration, and cost) are kept for as long as needed for billing and accounting. If you delete your account, we delete or anonymize your personal data unless we are legally required to keep it (for example, invoices).
6. Your rights
Under the GDPR you have the right to access, correct, delete, and receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise any of these rights, email support@vextore.com. You also have the right to lodge a complaint with your local data protection authority (in Sweden, IMY).
7. Changes
If we make material changes to this policy we will update this page and, where appropriate, notify you by email. Continued use of the service after changes take effect means you accept the updated policy.
